Our Curation & Vetting Methodology

The term ‘luxury’ is subjective. At Private Yacht Retreat, we define it through a rigorous, objective, and multi-faceted methodology. Only a small fraction of the Phinisi yachts operating in Indonesia meet our exacting standards for inclusion in our curated collection. Our reputation rests on the quality and safety of the experiences we offer, and our evaluation process is the bedrock of that trust. This methodology ensures that any private yacht retreat booked through us is guaranteed to be exceptional.

The Four Pillars of Evaluation

Each potential partner vessel and experience is assessed against four core pillars, with a detailed scoring rubric. A vessel must achieve a minimum qualifying score in every category to be considered.

1. Safety, Seaworthiness & Compliance (Weighting: 40%)

This is our most critical pillar. There is no compromise on safety.

  • Regulatory Compliance (Pass/Fail): Verification of valid SIUPP (Surat Izin Usaha Perusahaan Pelayaran) and all necessary permits from the Directorate General of Sea Transportation (Ditjen Hubla).
  • Safety Management System (SMS): Audit of the vessel’s documented SMS, including emergency drills, crew training logs, and incident reports.
  • SOLAS & Life-Saving Appliances: Physical inspection of life rafts, life jackets, EPIRB, satellite phones, VHF/SSB radios, and fire suppression systems.
  • Crew Certification: Verification of STCW (Standards of Training, Certification and Watchkeeping) qualifications for all deck and engine crew.
  • Vessel Maintenance: Review of dry-docking schedules, engine service logs, and structural integrity reports.

2. Crew & Service Excellence (Weighting: 30%)

A magnificent vessel is nothing without an exceptional crew. We evaluate the human element with intense scrutiny.

  • Captain & Cruise Director Expertise: Minimum of 10 years’ experience navigating Indonesian waters. Assessed for local knowledge, decision-making, and guest communication skills.
  • Hospitality & Discretion: Crew-to-guest ratio analysis. Evaluation of service protocols, drawing on standards from world-class hotels. Emphasis on proactive service and discretion for our high-profile clientele.
  • Specialist Guides: Verification of credentials for onboard dive masters (PADI/SSI), wellness practitioners (Yoga Alliance), and cultural guides (HPI certification).
  • Culinary Program: Assessment of the chef’s experience, menu creativity, hygiene standards (HACCP principles), and ability to cater to complex dietary requirements.

3. Onboard Experience & Amenities (Weighting: 20%)

This pillar assesses the physical comfort and quality of the guest environment.

  • Cabin Quality: Inspection of cabin size, quality of linens, ensuite bathroom facilities, air conditioning, and soundproofing.
  • Communal Spaces: Evaluation of the design, comfort, and functionality of indoor and outdoor lounges, dining areas, and sun decks.
  • F&B Quality: Onboard tasting of meals to assess quality, presentation, and use of fresh, local ingredients.
  • Tenders & Equipment: Inspection of dive tenders (zodiacs), dive equipment (compressors, tanks, gear), and water sports toys for quality and safety.

4. Sustainability & Local Impact (Weighting: 10%)

We believe true luxury is responsible. We partner with vessels that share our commitment to protecting the pristine environments of Indonesia.

  • Waste Management: Audit of onboard waste segregation, black/grey water treatment systems, and responsible disposal protocols in port.
  • Single-Use Plastic Policy: Preference for vessels that have eliminated or significantly minimized single-use plastics.
  • Sourcing & Community: Evaluation of policies for sourcing local produce and employing crew from local communities (e.g., Flores, Papua).
  • Conservation Contribution: Assessment of active support for conservation NGOs or direct participation in citizen science programs (e.g., manta ray ID).

The Vetting Process

Our process is continuous. It begins with an initial application and culminates in an ongoing partnership.

  1. Initial Screening: Review of vessel documentation, safety records, and online reputation.
  2. In-Person Inspection: A multi-day, unannounced site visit by at least two members of our team to conduct the full evaluation based on the rubric above.
  3. Decision & Onboarding: If a vessel meets our standards, we begin a partnership, which includes detailed training on our service protocols.
  4. Annual Re-evaluation: Every vessel in our collection is re-inspected annually to ensure standards are maintained or exceeded. We also rely on continuous, detailed feedback from our clients to monitor performance.

This uncompromising methodology is our promise to you. It is how we ensure that your journey with Private Yacht Retreat will be nothing short of extraordinary.

2. Crew & Service Excellence (Weighting: 30%)

While a vessel’s structure provides the foundation, it is the crew who breathe life into a private yacht retreat. Our evaluation delves deep into the professionalism, training, and genuine hospitality of every team member. We assess the guest-to-crew ratio, ensuring personalized attention is a given—many of our curated Phinisis maintain an impressive ratio, often as low as 1:1 for discerning guests
